3D Events is fully covered by liability insurance, as required by venues throughout Australia. Details of our policy and coverage can be provided upon request or as necessary.
Our philosophy is to always provide event management of a high quality. In order to fulfill this expectation, the following terms and conditions have been designed to ensure your function runs smoothly.
Terms & Conditions
1. Confirming Booking
We do not start the organization of an event without an agreement in place. Once a booking is agreed with the events manager, a signed agreement form and deposit is required within 24 hours. If these are not received, we reserve the right to cancel any arrangements.
2. Deposit
An initial deposit of $250.00 or 50% of the estimated value of 3D Events costs for the conference/function, whichever is greater, is required within 24 hours of confirmation of the booking via cash, EFT or bank cheque. Unless otherwise specified in the agreement.
3. Payment
Progress payments are required leading up to the event - subject to the conditions of the suppliers chosen for the event with the final payment being seven (7) working days prior to commencement of the event for cash / EFT / and the (10) working days for bank cheque.
If payment is not met 3D Events reserves the right to charge interest of 10% on any monies outstanding or refer the matter to a collections agency. 3D Events also reserves the right to cancel the Agreement under these circumstances, in which case all monies will be forfeited.
4. Cancellation
All cancellations must be forwarded to 3D Events in writing. Cancellation more than 60 days prior to the function date will incur no cancellation fee and result in the deposit being refunded in full. Cancellations within 60 days to 45 days of the proposed function date will incur a fee of 10% of the estimated value of the function. Cancellations within 45 days to 30 days of the proposed function date will incur a fee of 25% of the estimated value of the function. Cancellations within 30 days to 15 days of the proposed function date will incur a fee of 50% of the estimated value of the function. Cancellations within 14 days of the proposed function date will incur a fee of 100% of the estimated value of the function. NB: Regardless of cancellation notice, when an event is cancelled, any costs for a third party as agreed by the organiser which are not refundable to 3D Events will incur a full charge for any cost or liability to 3D Events.
5. Acts of God / Other
Should the event be cancelled or postponed due to an act beyond the control of 3D Events, such as extreme weather conditions or political unrest, 3D Events is not held responsible for any extra costs involved in rescheduling or cancelling the event.
6. Guaranteed Numbers
- Final numbers must be confirmed 3 days prior to the event. Charges for the function will be based on the guaranteed numbers or final number of attendees, whichever is greater.
- A decrease in attendance in excess of 20% of the confirmed numbers at time of booking will incur a fee of 50% of the estimated per head cost (for that amount over the 20%).
- Any additional charges incurred as per the agreement with the venue or caterer are to be covered by the client.
7. Menu Selection
Menu selection, audio visual requirements and running schedule must be confirmed 14 days prior to the event, unless otherwise specified by the providers of these services.
8. Insurance
Any damage to, or loss of items before, during and after an event, is the client's responsibility. It is strongly recommended that clients arrange appropriate insurance cover in advance.
9. Damage
Financial responsibility for any damage sustained to the venue during the event lies with the client.
10. Client Responsibility
You shall give 3D Events adequate instructions to define your requirements including your budget and time line. Clients are responsible for ensuring that all attendees behave in an orderly manner during the event.
11. Security
Arrangements for special security can be made upon request, and may attract an additional charge.
12. Extended Hours/Timing
The client undertakes to begin the function and vacate space at the times agreed upon. Additional charges may apply if the event continues beyond the agreed completion time.
13. Prices
The prices are current at the time of quotation but may be subject to change at management discretion to meet rising costs. Upon receipt of written confirmation and deposit, fixed prices will be confirmed in writing.
14. Accommodation
Client is subject to the terms and conditions of their chosen hotel with regards to bookings and cancellations of hotel accommodation.
15. Food and Beverage
Client is subject to the terms and conditions of the chosen caterer with regards to bookings and cancellation fees, and any time requirements.
16. Beverage License
A liquor license fee may apply, subject to local legislation, and it is the responsibility of the client to obtain such a license. The client agrees not to supply liquor at any event unless an adequate license has been arranged prior to the event.
17. Entertainment
3D Events will be happy to arrange entertainment and a variety of additional services upon request, such as technical equipment, etc. A charge may be incurred for some services. If the event is cancelled, such service charges are the responsibility of the client. An entertainment license may be required, subject to local legislation.
18. Exhibitions
Exhibition companies and exhibitors are responsible for transport, set up and dismantling of their own equipment in accordance with health and safety codes.
19. Photography/Recording of the Event
Prior permission is required for photography, sound or video recording of events or guests in some venues.
20. Cleaning
General and normal cleaning is usually included in the cost of the room hire. Additional charges may be incurred where an event has created cleaning requirements considered in excess of normal cleaning. These charges will be the responsibility of the client, not 3D Events.
21. Responsible Consumption of Alcohol
The client accepts full responsibility for the consequences of consumption of alcohol by all guests associated with this function.
22. Public Holidays
A 30% surcharge applies to all costs of an event held on Public Holidays in Brisbane. This includes Labour Day, Australia Day, Ekka Day, Good Friday, Easter Monday, Anzac Day, Queen's Birthday, Christmas & New Years Day.
23. Administration Costs / Travel
The client will be responsible for any extraordinary costs associated with the organisation of the event including, but not limited to, extra travel and accommodation costs for 3D Events staff, any additional insurance that is required, and incidentals over and above the normal business essentials.
24. 3D Events' Responsibility
3D Events is not responsible for the performance of any of the suppliers selected by the client such as caterers and wait staff, nor for the suitability of the venue .
25. Liability of 3D Events
These terms and conditions constitute the entire Agreement with the client and may only be varied in writing by 3D Events. All implied warranties or conditions which might otherwise relate to this Agreement are excluded. The total liability of 3D Events to the client (if any) for loss, damage or other claim shall be limited, at the election of 3D Events, to the re-supply of a service or the cost of such re-supply and in any event will not include liability for direct, indirect, special or consequential loss or damage. The limitations and disclaimer in this clause do not exclude any rights which by law may not be excluded.
